Administrative Assistant


• Provide general administrative and clerical support including mailing, scanning, receiving visitors, faxing and copying for the office;
• Plan, schedule and coordinate meetings;
• Prepare presentations, expense reports or other reports;
• Edit, correct, and translate documents (presentations, letters, etc) in Dutch, French and English;
• Manage travel arrangements;
• Answer calls;
• Attend meetings as required, take minutes and prepare meeting briefs;
• Monitor and follow up on certain files and/or projects;
• Ensure that schedules and calendars are kept updated;
• Order supplies and maintain supplies inventory;
• Assist with a variety of scheduled and unscheduled projects occurring in the office;
• Works cooperatively with all members to support the achievement of work plan activities.


  • Degree in Administration or the equivalent;
  • Minimum of 3 years of work experience in a similar role;
  • Knowledge of Thunderbird;
  • Advanced level knowledge of Microsoft Office (Word, Excel, Outlook, PowerPoint);
  •  Excellent verbal and written communication skills;
  • Advanced proficiency by quickly adapting to new technology and easily acquiring new technical skills;
  • Relevant experience in an IT company (asset);
  • Bilingual in English and Dutch, required;
  • Fluent in French, required.
